About the Department:


To educate students to become lawyers, the George Mason University Antonin Scalia Law School has designated a curriculum that addresses three of the most pressing requirements of contemporary legal practice: facility with economic and quantitative methods, the increasing need for specialization, and a thorough grounding in fundamental skills of legal research, writing and analysis. George Mason University's Antonin Scalia Law School is located in Arlington, VA, just two miles from downtown Washington, D.C. Antonin Scalia Law School is a Top 50 law school. A relatively young law school, Scalia Law offers students an opportunity to pursue a JD, JM, or an LLM.


About the Position:


The Admissions Office Coordinator provides administrative and operational assistance to the Admissions Office and serves as a primary point of contact for prospective students, applicants, visitors, and members of the law school community. This position supports the office's day-to-day operations, including front desk coverage, prospective student visits and tours, student ambassador scheduling, purchasing and reimbursement processes, and general administrative functions. The Admissions Office Coordinator collaborates with the admissions team to ensure smooth office operations and provides a warm, attentive experience for both prospective and current members of the Scalia Law community. This position will report to the Associate Director of JD Admissions with a dotted line to the Associate Dean for Admissions and Enrollment Management.


This is an on-site position with a regular schedule of Monday through Friday, 8:30 a.m. to 5:00 p.m. Remote or hybrid work is not available for this position.


Responsibilities:



  • Provides primary front desk coverage for the Admissions Office and serves as the first point of contact for prospective students, applicants, visitors, and members of the law school community;
  • Manages the main Admissions phone line, welcomes and assists visitors, responds to general inquiries, and provides backup support for the general Admissions email inbox;
  • Provides direct administrative support to the Associate Dean for Admissions, including calendar management, scheduling, meeting coordination, reimbursements, correspondence, mailings, and other administrative needs;
  • Manages logistics for prospective student events, admitted student programming, and other admissions programs;
  • Coordinates event registration, invitations and reminders, catering, room and facility needs, event materials, setup, check-in, and other day-of logistics;
  • Communicates with vendors, campus partners, and participants as needed, and completes related administrative follow-up;
  • Coordinates prospective student tours and group visits, including scheduling and tour coverage, and assisting with travel stipend and reimbursement processing associated with admissions programs;
  • Coordinates the scheduling and day-to-day work of Student Ambassadors and other assigned student or wage employees supporting the Admissions Office;
  • Maintains schedules and coverage, communicates assignments and expectations, provides work direction related to front desk coverage, tours, events, and other admissions activities, and assists with onboarding and administrative processes for student and wage employees;
  • Monitors completion of assigned responsibilities and helps ensure appropriate staffing coverage for admissions operations and programs;
  • Provides administrative support for admissions purchasing, reimbursements, travel, and related financial processes;
  • Processes and tracks purchasing requests, invoices, reimbursements, and supporting documentation; assists with travel-related administrative needs; and coordinates with appropriate law school and university offices to ensure timely processing and compliance with university procedures;
  • Maintains organized records and follows up on outstanding financial and administrative items as needed;
  • Provides administrative and operational support across admissions programs and activities, including onboarding and incoming student processes, transfer and visiting student administration, recruitment activities, application-cycle support, data entry and record maintenance, routine communications, scheduling, and special projects;
  • Assists admissions staff during high-volume periods and provides additional administrative support as needed to ensure effective office operations; and
  • Other duties related to the position as assigned.


Required Qualifications:



  • Bachelor's degree in related field, or the equivalent combination of education and experience;
  • Some experience (typically 1-2 years) in administrative, customer service, or office support;
  • Excellent verbal and written communication, customer service, and interpersonal skills;
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities;
  • Ability to provide professional front desk and telephone support;
  • Ability to coordinate schedules, meetings, events, and administrative logistics;
  • Ability to exercise sound judgment, maintain confidentiality, and communicate appropriately with diverse audiences;
  • Ability to work independently and collaboratively as part of a team; and
  • Proficient in Microsoft Office and standard office technology.


Preferred Qualifications:



  • Bachelor's degree in related field;
  • Experience in higher education, admissions, student services, or a similar administrative environment;
  • Experience providing administrative support to a department or senior leader;
  • Experience coordinating events, schedules, or programs;
  • Experience with purchasing, reimbursements, or related administrative processes;
  • Experience supervising or coordinating student or wage employees;
  • Experience using Microsoft 365 and database or CRM systems.
