Summary: Goldbelt Frontier, LLC is looking for a Administrative Assistant.The Administrative Assistant will deliver comprehensive operational and clerical support across institute directorates and scientific divisions. Reviews, edits, formats and routes correspondence IAW AR 25-50, processes CONUS/OCONUS travel in DTS, enters purchase requests into GFEBS and DMLSS, tracks records and logs & coordinates personnel rosters and PERSTATs, schedules meetings and conferences, transcribes meeting minutes, and maintains record files in appropriate systems.
Responsibilities
Essential Job Functions:
- Prepare a minimum of approximately 10 pieces of correspondence per week
- Prepare Travel requests in DTS; approximately >1 per month. OCONUS requests will be coordinated and prepared in accordance with applicable guidance; approximately 2-3 per month
- Answer and filter telephone calls as needed. Provide messages to appropriate personnel upon receipt or within 1 hour of receipt.
- Attend, record and prepare supporting documentation to include but not limited to spreadsheets, PowerPoint presentations, meeting minutes and memorandums as needed for designated recurring (e.g., HR PBAC, SRRB, DGC) and ad hoc meetings; approximately >5 per month
- Reply to emails within 3 hours or sooner if request is urgent
- Pickup mail from mail distribution center and deliver on a daily basis within assigned division/office.
- Review approximately 10 pieces of correspondence monthly and ensure formatting is in accordance with AR25-50 and all applicable guidance.
- Schedule and coordinate meetings, conferences, and training sessions. Approximately 5 meetings per week will be scheduled. Schedule approximately 5 conferences and/or training sessions per year onsite or at alternate locations throughout the local area or CONUS.
- Initiate/Create purchase requests and gather quotes for the Administrative Directorate and Command Group in the General Fund Enterprise Business System (GFEBS) and DMLSS.
- Attend meetings for the purpose of taking meeting minutes. The minutes shall be transcribed in the correct format and distributed to attendees or as directed by the meeting organizer.
- Maintain, update, and track information in databases based on Division/Office assignment. Approximately 40 entries per week, to include tracking of proposal and change request documents.
- Coordinate Directors Governance Counsel (approximately 8 submissions/month) and SITREP submissions from the divisions (approximately 3 submission/month) .
- Assist with routine human resource office tasks, i.e. pulling and building staff position descriptions (PDs) as directed, pulling reports and other data, send correspondences to managers and employees as requested, managing and tracking data (i.e. telework agreements, reasonable accommodations, etc), and the managing of HR-related RIID Train entries.
- Assist Divisions within the Directorate with the tasks above as requested.
- Manage and maintain designated supervisors' schedules via Outlook. Coordinate meetings, secure background info, and compile supporting documentation.
- Maintain, track, and update the Institute's Duty Appointment (DA) records and logs in accordance with applicable regulations.
- Extract, compile, and analyze personnel/administrative data from systems including CPOL, PAT, BOBi, ABC-C, and DCPDS
- Review, edit, and correct submissions within the RIID-vision eNews Administration queue for grammar, accuracy, and organizational alignment.
- Provide back-up reception, phone, and conference room scheduling support to the Command Group.
- Send Command-wide, and other email correspondences, as directed.
Qualifications
Necessary Skills and Knowledge:
- Shall be knowledgeable in Microsoft Office suite to include Word and Excel.
- Effective communication skills including excellent oral and written communication skills.
- Strong customer service orientation
- Ability to work independently
- Strong organizational and time-management skills
- High degree of attention detail
Minimum Qualifications:
- High School Diploma or GED
- Minimum 3-5 years of related experience
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Special Requirements - DTS, GFEBS, DMLSS, AR 25-50
- Experience with preparing Government Travel requests in DTS
- Familiar with formatting correspondence in accordance with Government format AR25-50
- Previous experience with GFEBS and/or DMLSS
Preferred Qualifications:
- Associates Degree from an accredited institution
