Position Highlights The Senior Academic Records Coordinator supports the systems and processes that help students understand and monitor progress toward degree completion. The position is responsible for implementing curriculum, degree requirements, and approved academic policies within degree audit and academic planning systems, ensuring academic programs are accurately represented for students, advisors, faculty, and university stakeholders.

The Senior Academic Records Coordinator collaborates with academic colleges, Academic Advising, Curricular Affairs, and technology partners to implement curriculum changes, maintain degree requirement structures, support degree progress tools, and advance continuous improvement efforts within academic records systems. This position plays a critical role in ensuring the accuracy, consistency, and usability of degree audit and academic planning functionality that supports student success and informed academic decision-making.

The Office of the Registrar is responsible for the accuracy and integrity of the academic record. Serving all students, faculty, academic units, and student support functions; the Office is charged with the implementation of academic and student policies and their alignment to state and federal regulations and accreditation standards. The Office strives to be a leader and thought partner in creating efficient processes that are designed in a way that supports student success and service excellence.

This position will allow for flexible/hybrid work arrangements. Some duties can be performed remotely, but others will require an in-person presence on the Tucson, Arizona campus.

Duties & Responsibilities

Degree Audit and Academic Planning Configuration

  • Configure, maintain, test, and document academic requirements within degree audit, academic planning, and related academic records systems.
  • Translate approved curriculum, catalog requirements, and academic policies into system logic and degree audit rules.
  • Develop and maintain requirement structures for undergraduate, graduate, certificate, and specialized academic programs.
  • Validate audit outcomes to ensure accurate representation of approved academic requirements.
  • Maintain documentation supporting system configuration, business rules, and implementation standards.
  • Ensure timely implementation of approved academic program and curriculum changes.

Curriculum Implementation and Analysis

  • Analyze approved curriculum changes and determine appropriate implementation within degree audit and academic planning tools.
  • Evaluate complex academic programs, degree requirements, and curricular relationships.
  • Assess impacts of curriculum modifications on requirement structures, degree audit outcomes, and academic planning functionality.
  • Identify and resolve discrepancies between approved curriculum, catalog requirements, and system configuration.
  • Collaborate with Curricular Affairs, academic colleges, and other stakeholders to clarify implementation requirements and support consistency across academic programs.
  • Review and interpret curricular proposals to support accurate implementation within institutional systems.

Academic Records Systems Support

  • Support functional administration of academic records related to academic structure, degree progress and academic planning.
  • Participate in system upgrades, testing efforts, enhancements, and implementation projects.
  • Troubleshoot complex degree audit and academic planning issues and recommend solutions.
  • Collaborate with information technology partners regarding system functionality, enhancements, and issue resolution.
  • Develop and execute test plans and validate system changes prior to production implementation.

Consultation and Collaboration

  • Serve as a functional resource for colleges, advisors, curriculum administrators, and registrar staff.
  • Explain degree audit logic, requirement structures, and implementation approaches.
  • Consult with stakeholders regarding impacts of curriculum and policy changes on degree audit and academic planning processes.
  • Participate in committees, working groups, and projects related to curriculum implementation, academic records, and student success initiatives.

Documentation, Training, and Continuous Improvement

  • Develop and maintain procedures, knowledge resources, and training materials.
  • Provide training and consultation on degree audit and academic planning functionality.
  • Identify opportunities to improve operational efficiency, consistency, and service delivery.
  • Contribute to the development of standards and best practices related to academic requirement implementation.

Knowledge, Skills, and Abilities

  • Knowledge of higher education curriculum, academic policies, degree requirements, and academic records processes.
  • Knowledge of degree audit, academic planning, student information systems, and related technologies.
  • Ability to interpret and implement complex curriculum and academic policies.
  • Ability to analyze and evaluate detailed academic requirements and their relationships within academic programs.
  • Ability to translate functional requirements into system configurations and business rules.
  • Strong analytical, problem-solving, and troubleshooting skills.
  • Ability to exercise independent judgment and manage multiple priorities simultaneously.
  • Ability to communicate complex technical and functional concepts to various audiences.
  • Ability to establish collaborative working relationships across academic and administrative units.
  • Skill in testing, quality assurance, documentation, and process improvement.

Minimum Qualifications
  • Bachelor's degree or equivalent combination of education and professional experience.
  • Minimum of five years of relevant experience in academic records, curriculum management, student information systems, degree audit administration, academic advising, enrollment management, or related higher education functions.
  • Experience interpreting academic policies, degree requirements, and curricular structures.
  • Experience working with enterprise systems and technology-supported business processes.
Preferred Qualifications

  • Experience with PeopleSoft Campus Solutions, including Academic Advisement and related modules.
  • Experience configuring or supporting degree audit, academic planning, degree progress, or curriculum management systems.
  • Experience implementing curriculum or academic requirements within a student information system.
  • Experience supporting curriculum governance, catalog management, or academic affairs functions.
  • Experience conducting system testing, quality assurance, and documentation activities.
  • Experience working in a registrar's office, academic affairs environment, or enrollment management organization.

As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
