Position Overview

The Complex Sales Coordinator provides sales and catering administrative support for two hotels, assisting the sales managers with the sales and service process, client communication, contract and document administration, and day-to-day office management in support of revenue objectives.

Responsibilities and Duties:

Provide sales coordinator support for two hotels, balancing daily workload and deadlines between the properties.

Assist the sales managers and regional director of sales in all facets of the sales and service process and office management, with a focus on optimizing revenue.

Answer telephone calls promptly, respond to inquiries regarding hotel facilities and menus, and relay information accurately to the managers, client accounts, and affected departments.

Prepare and process proposals and contracts, and distribute memos, contracts, resumes, rooming requests, and amenity requests to the relevant departments at each hotel.

Maintain filing, trace, and office service systems, logging account information and retaining copies of contracts and correspondence in an orderly and accurate manner.

Assist in resolving questions regarding pricing, menu descriptions, banquet facilities, guarantees, and seating charts.

Conduct tours of meeting and ballroom space and meet with clients as needed; relay incoming information and messages to in-house clients.

Respond promptly to guest requests for assistance, directions, amenities, and information, and follow up during the guest's visit to support overall satisfaction and repeat business.

Attend pre-shift meetings to learn daily particulars, including guest and hotel expectations, to ensure consistency.

Support the Front Office with Front Desk agent coverage as needed. This role could include working shifts as a front desk agent.

Perform other related duties as assigned or needed.

If traveling between properties on the same day, you should be punched in (on the clock).

Qualifications:

Required:

High school diploma or GED, or any combination of education, training, or experience providing the knowledge, skills, and abilities necessary to perform the job functions.

Valid, current driver's license;

Working knowledge of hotel operations, sales and catering, events, brand standards, and business etiquette.

Proficiency with office and sales systems, accurate basic mathematics, and the ability to operate standard office equipment and meet recurring deadlines.

Preferred:

Previous administrative support experience in a hotel or other professional office.
