Position Summary
The
Digital Project Manager is a full-time contract role working within the internal Medical Affairs Digital Agency. Unlike commercial product-specific advertising, this role supports Medical Affairs initiatives, translating complex scientific content-such as clinical trial data, disease education, treatment approaches, and safety information-into engaging, interactive, and easily digestible digital assets for healthcare professionals (HCPs) and decision-makers.
The primary focus of this role is
project execution, workflow management, internal resource coordination, and timeline/budget tracking. Working closely alongside Digital Account Managers (who oversee strategy and client relationships), the Project Manager ensures that designers, writers, proofreaders, and video production teams have the resources and documentation needed to deliver digital projects on time and within scope.
Key Responsibilities & Essential Functions
Project & Process Execution
- Coordinate internal scheduling of cross-functional resources (designers, medical writers, proofreaders, video teams) and manage workload distribution.
- Build and maintain detailed project timelines based on task durations, resource availability, and evolving project scope.
- Track project budgets, review ongoing timelines, and assist with schedule-driven billing and daily time tracking.
- Manage shifting priorities and changing scopes in a fast-paced creative agency environment.
- Prepare, review, and quality-check (QC) project documentation (such as functional requirements) to ensure accurate digital submissions and asset testing.
Collaboration & Communication
- Attend client meetings alongside the Account Manager, serving as a primary internal point of contact for execution updates.
- Document call logs, meeting notes, agreed-upon next steps, and communicate action items directly to execution teams.
- Provide continuous, clear communication across all stakeholders to keep projects aligned with key objectives, timelines, and budgets.
- Assist agency leadership with scope estimates, project feasibility assessments, and resource planning.
Digital Deliverables & Compliance
- Support end-to-end production of diverse digital assets, including website projects (AEM), Veeva CRM assets, email campaigns, banner ads, field tools, interactive applications, and social media content.
- Ensure all projects strictly adhere to internal corporate branding guidelines, material review processes, Veeva submissions, and corporate compliance standards.
Required Skills & Qualifications
- Education: Bachelor's Degree required.
- Project Management Experience: Proven experience managing digital projects and balancing multiple high-volume initiatives simultaneously.
- Digital Aptitude: Strong background and comfort level working with digital tools, web-based solutions, and digital asset production.
- Quality & Detail Focus: Excellent eye for detail with hands-on experience in quality control (QC), asset testing, and documentation.
- Communication & Organization: Outstanding written, verbal, and presentation skills with exceptional organizational and multi-tasking capabilities.
- Adaptability: Ability to thrive in a fast-paced, high-visibility environment where project scope and timelines frequently shift.
Preferred / Bonus Experience
- Prior experience in a creative agency environment or an in-house agency model.
- Experience within the Pharmaceutical, Biotechnology, or Healthcare industry.
- Knowledge of Veeva CRM or similar healthcare promotional review platforms.
- Familiarity with web management platforms (Adobe Experience Management / AEM), UI/UX principles, HTML development constraints, SEO, and digital/mobile metrics.
