Job Summary

Reporting to the Accounting Operations Manager, with a high degree of independence, mange the daily cashiering operations of UC Davis Continuing and Professional Education (UCD CPE). Support collection of over $15 million in course fee payments annually, maintaining proper cash handling, daily statements of cash collection and posting course revenue using UC Davis CPE and UCD financial information systems. Collaborate and train UC Davis CPE staff who manage alternative student funding, payment processing and course enrollments on cash handling policies, processes and compliance. Collaborate with CPE Student Services to ensure proper financial reporting. Work closely with UCD cashiers and accounting offices to accurately manage cash, check, credit card, and electronic transfers. Responsible for the accuracy of division revenue accounting, including identifying and resolving discrepancies.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and / or equivalent experience / training
  • Experience in financial operations, cashiering, revenue accounting, or accounts receivable. Knowledge of generally accepted accounting principles (GAAP) and standard reconciliation practices.
  • Experience reconciling financial transactions, identifying discrepancies, and resolving variances. Strong analytical skills to review financial data, identify discrepancies, and determine root causes. Ability to independently research and resolve complex financial issues, including chargebacks and account variances.
  • Experience using financial systems, accounting software, and/or student information systems to process, track, and manage payments. Advanced proficiency in Excel or similar tools for reconciliation, reporting, and data analysis.
  • Experience handling cash, credit card, and electronic payment transactions in a high-volume environment. Knowledge of cashiering operations, accounts receivable processes, and revenue tracking.
  • Experience interpreting and applying policies and procedures related to financial operations or cash handling. Understanding of internal controls, audit practices, and financial compliance requirements.
  • Ability to analyze trends and recommend process or system improvements.
  • Strong interpersonal skills to collaborate with internal departments, campus partners, and external stakeholders. Ability to handle sensitive financial interactions (e.g., payment issues, collections) with professionalism and discretion.

Preferred Qualifications

  • Experience researching and analyzing data with skills to think logically and identify anomalies, trends and potentially invalid data.
  • Professional experience and political acumen in handling sensitive or difficult situations, maintaining confidentiality and exercising discretion in dealing with controversial or potentially sensitive topics.
  • Experience managing projects, analyzing data, developing validation procedures and audits to improve data quality.
  • Knowledge of campus-wide offices, campus resources and administrative contacts.
  • In depth knowledge of data management systems, UC Davis financial information system and credit card merchant operations systems.
  • Knowledge of laws and policies related to cash handling, credit card payment management, revenue management and accounts receivables, including UC, UCD and UC Davis Extension policies and Payment Card Industry (PCI) standards.
  • Knowledge of PCI compliance and secure payment processing practices.

UC Davis Continuing and Professional Education (CPE) is the lifelong learning arm of the university. The division maintains the most diverse portfolio on the campus, with programs spanning pre-college, professional continuing education, workforce development, international academic and cultural exchange, and training services for corporate and agency partners. As a global leader in continuing education, CPE serves learners regionally, nationally and globally, and posts more than 55K enrollments annually making it the third largest UC Extension by enrollment. Beyond its community-facing role, CPE serves as the internal hub for online education in support of other academic units on the campus. Work Environment
