POSITION TITLE: HR COMPLIANCE COORDINATOR
DEPARTMENT: ADMINISTRATION
STATUS: NON-EXEMPT
SUPERVISOR: ARCC HR DIRECTOR

PAY RATE: $30 PH

GENERAL STATEMENT:

POSITION SUMMARY:

The Compliance Coordinator provides critical support to the Command HR Director by overseeing compliance, leave administration, and workers' compensation management across all Command facilities, including Retail Stores, Rehabilitation Centers, Programs, and Command. This position ensures that federal, state, and local employment laws-as well as Salvation Army policies-are consistently applied, audited, and upheld. The Compliance Coordinator partners closely with Risk Management, Operations, and HR Business Partners to identify risks, enforce compliance standards, and promote a culture of safety and accountability. This role requires a strong eye for detail, the ability to manage multiple priorities, and a commitment to providing accurate, timely, and confidential support to both leadership and employees across a multi-state Command.

ESSENTIAL JOB DUTIES:

Workers' Compensation & Risk Management



  • Partner with Risk Management, Program, and Operations to manage the workers' compensation process across the Command, including timely tracking, notifications, follow-up, filing, and claims reviews.
  • Provide ongoing updates to the Command HR Director on workplace injury trends; assist with developing proactive risk-reduction strategies.
  • Support units in creating and implementing workers' compensation risk plans when patterns or high-risk cases are identified.


Leave of Absence (LOA) & Return-to-Work (RTW) Administration



  • Manage all LOA requests for the Command, ensuring employees receive timely and compliant documentation and notices.
  • Enter and maintain accurate LOA and RTW records in TSAMM on a timely basis.
  • Ensure compliance with all federal and state leave regulations (FMLA, CFRA, ADA, PDL, etc.) as well as Salvation Army policies.
  • Act as a resource for managers and employees regarding leave policies, procedures, and requirements.


Compliance & Auditing



  • Conduct routine audits to ensure compliance with HR policies, Command practices, and federal/state legal requirements.
  • Collaborate with Operations and HR leadership to review audit findings and drive corrective action plans.
  • Travel to Centers and Stores as needed to conduct audits, participate in field safety meetings, and support compliance initiatives.
  • Monitor compliance calendars to ensure timely completion of required activities, reports, and renewals.


Training & Development



  • Identify compliance and risk-related training needs across the Command and recommend solutions.
  • Assist in planning, developing, and facilitating compliance training sessions for managers and staff.
  • Promote awareness and understanding of compliance obligations to reduce organizational risk.


Timekeeping & Reporting



  • Oversee Command-wide timekeeping compliance, including the timely review of records and weekly reporting to identify employees out of compliance.
  • Work with managers to resolve discrepancies, reinforce policies, and prevent repeat issues.
  • Prepare reports on compliance metrics and trends for review by the Command HR Director.


Other Responsibilities



  • Support Command-wide HR initiatives and special projects as directed by the Command HR Director.
  • Provide back-up assistance to the HR Team during peak workload periods or as needed.
  • Perform other duties as assigned, consistent with the scope and purpose of this position.


QUALIFICATIONS:



  • BA/BS in HR, Business or related filed and 1 year experience, or 3 years of relevant HR experience to this role.
  • Must be familiar with all federal and state leave of absences
  • Must be familiar with worker compensation
  • Must have great attention to detail
  • Strong computer skills, including email, MS Office and related business & communication tools.
  • Excellent organizational skills, detail-oriented and able to multi-task.
  • Must be self-motivated, able to work with a minimum of supervision, and able to handle confidential matters.
  • Effective written and verbal communication skills and able to interact with staff at all levels.
  • Ability to maintain strict confidentiality and adhere to all HIPAA (or relevant privacy)
  • Current valid Driver's license.


PHYSICAL REQUIREMENTS:



  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis.
  • Ability to grasp, push, pull objects such as files, file cabinet drawers, and other office equipment.
  • Ability to communicate clearly on the telephone.
  • Ability to lift up to 30 lbs.
  • Ability to perform various repetitive motion tasks.
