Position Goals:

Provide administrative support to the Talent Acquisition team and all recruitment activities.

Essential Duties and Responsibilities:



  1. Function as the first point of contact for all Talent Acquisition (TA) case tickets.

    1. Respond to general Talent Acquisition questions from employees and managers and/or assign case tickets to other team members as needed.
    2. Review interview guides to ensure legal compliance and work with hiring managers on corrections.

      1. Document interviews in the Applicant Tracking System (ATS).
      2. Save interview guides in the shared folder.


    3. Request credit and background checks from the external vendor. Ensure that background checks are completed in a timely manner by following up with applicants as needed, review and save background documentation as appropriate. Send pre-adverse action and adverse action letters in accordance with the Fair Credit Reporting Act (FCRA).
    4. Post open positions to the ATS and save requisition forms.


  2. Review applications for each open position and disposition applicants in the ATS.
  3. Utilize available social media and platforms to source passive talent.
  4. Pull Predictive Index (PI) Assessments as needed and send them to the appropriate hiring manager.
  5. Collect documentation from hiring managers such as interview checklists.
  6. Gather content and create the weekly Talent Acquisition Spotlight publication.
  7. Maintain the career fair spreadsheet and register for upcoming fairs.

    1. Strive for participation in fairs that are specifically for diversity, minority, and veteran job seekers.
    2. Ensure adequate coverage at each career fair by assigning and scheduling recruiters and other line of business leaders to participate.
    3. Assist with the provision and maintenance of career fair materials and collateral.


  8. Schedule applicant interviews which involve coordinating manager calendars with applicant availability, arranging for applicant travel through the travel management system, etc.
  9. Prepare weekly/monthly recruitment reports.
  10. Assist with the tracking of temporary employees and affiliated costs.
  11. Maintain sponsored job slots on job boards, to ensure maximum effectiveness and return on investment.
  12. Assist with coordination and activities to support the annual internship program.
  13. Perform ARC approvals and system maintenance in the travel management system.
  14. Responsible for all steps around new hire documentation and communication; both with the candidate, payroll, TA, and LD&P.
  15. Assist with reconciling, tracking, and submitting invoices related to TA.
  16. Assist with tracking agency hires and spend.


Position Requirements:

Education - High school diploma or equivalent (GED).

Experience - A minimum of one (1) year of human resources, administrative or related experience.

Other - None.

Preferred Requirements:

Bachelor's degree or position relevant coursework.

Recruitment or temporary staffing agency experience.

Clerical or administrative support experience.

SHRM-CP or PHR Certification.
