We are seeking a motivated, detail-oriented Bookkeeper to manage all the financial aspects of our small business.

Our firm operates in two different, but related, fields: design and procurement. The Bookkeeper will oversee both, with the assistance of a small team that handles procurement transactions only.

  • Location: New York City

  • Work Arrangement: Hybrid (Required to attend the office in person 1-2 times per week).

Key Responsibilities
  • Oversee the entire financial operation of the small firm.

  • Verify daily balances, deposits, and withdrawals.

  • Reconcile bank and credit card statements with QuickBooks records.

  • Deposit physical checks when received by mail.

  • Handle collections as necessary.

  • Review renewal packages for professional liability insurance, health insurance, and workers' comp insurance.

  • Create comprehensive reports for partners on a weekly, monthly, quarterly, and annual basis, covering both Design and Procurement.

  • Attend weekly financial meetings to review reports.

  • Provide guidance and input to improve practices and increase revenue based on report information.

  • Process bi-weekly payroll and partner draws.

  • Process 401(k) payments.

  • Liaise with the outside CPA as necessary.

  • Generate Year-End reports.

  • Generate and process all necessary tax payments for the business and Owner.

  • Generate and pay monthly sales tax for New York and Florida.

  • Generate monthly billing.

  • Record payments.

  • Review and verify the accuracy of data entered in QuickBooks.

  • Review payment requests and process them as necessary.

  • Collaborate with the Procurement Manager, especially regarding accounting and/or QuickBooks software use.

Requirements
  • Expertise in QuickBooks is essential.

  • Strong understanding of tax law and its application to a small business.

  • Strong attention to detail and accuracy.

  • Self-motivated: Must be able to work independently and execute functions with minimal supervision.

  • Ability to maintain confidentiality.

  • Reliable and responsive for online meetings as required.

  • Must have a reliable internet connection for remote workdays.

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
