Brief Description:

The Facility Coordinator serves as the first point of contact for visitors, customers, and clients at Ulterra. This role ensures a welcoming and professional environment while maintaining facility operations, coordinating administrative support, and upholding safety and security protocols. The Facility Coordinator assists various departments with clerical duties, meeting coordination, and facility maintenance while contributing to the efficiency and organization of the site.

Detailed Description:

  • Greet and assist visitors, ensuring all safety and security protocols are followed during each visit.

  • Maintain facility security by following established procedures, monitoring visitor logs, and issuing badges when necessary.

  • Answer, screen, and direct incoming phone calls in a courteous and professional manner.

  • Provide administrative assistance including scanning, filing, data entry, and document organization for multiple departments.

  • Sort and distribute incoming mail, assist with outgoing mail, and coordinate shipping needs as required.

  • Retain and organize files for Directors and Managers in accordance with company recordkeeping standards.

  • Maintain cleanliness and professional appearance of the front office area, reception space, and conference rooms.

  • Assist with planning and hosting customer, client, and employee meetings; order catering or lunches as needed.

  • Collaborate with vendors to support facility maintenance and repair needs, ensuring operational readiness.

  • Oversee and track company fleet management activities, coordinating maintenance schedules and documentation.

  • Support company initiatives by completing other administrative or facility-related tasks as assigned.

  • Contribute to a positive, customer-focused culture aligned with Ulterra's values.

Job Requirements:

  • Strong verbal and written communication skills with a professional phone and in-person demeanor.

  • Proficiency in Microsoft Word, Excel, and Adobe PDF.

  • Ability to multitask, prioritize workload, and maintain attention to detail.

  • Demonstrated organizational skills to ensure office areas remain neat and presentable.

  • Customer-first mentality with a positive attitude and ability to work collaboratively in a team environment.

  • Capability to follow verbal and written instructions accurately.

  • Must maintain a clean driving record and adhere to company vehicle policies.

  • Ability to lift up to 20 pounds and perform light physical tasks such as bending or reaching.

Minimum Qualifications:

  • High School Diploma or GED.

  • Valid state-issued driver's license and eligibility to drive a company vehicle under the Company's Vehicle Use Agreement and Driving Policy.

Preferred Qualifications:

  • Previous experience in a front office, administrative, or facility support role.

  • Experience working in a manufacturing, oil and gas, or industrial environment.

  • Familiarity with fleet management or vendor coordination.

Additional Details:

The Facility Coordinator works primarily in a climate controlled / office environment with minimal safety / health hazard potential. The employee is regularly required to sit, stand, or walk with occasional lifting (overhead, waist level) from floor, bending and frequent near vision use for reading and use of computer, telephone, and other office equipment.
