Position Summary
This position is focused on student services in the Institute for Leadership Advancement's certificate program. Student services duties include: advising students, clearing students for course registration, maintaining detailed advising and academic records, verifying student graduation requirements each semester, leading all ILA data collection, and serving as the primary Banner Web coordinator for ILA.

Duties/Responsibilities
I. Academic student services to ILA students:

  • Advise students on what classes are required to complete the certificate
  • Assist faculty in coordinating course content such as assessments and workshops
  • Coordinate the ILA Leadership Badge elective program
  • Use Athena to confirm classes and grades and accept/deny student requests
  • Verify student graduation requirements each semester; check transcripts, contact students, update graduation information in Athena and SQL.
  • Create and update advising materials
  • Coordinate with Terry major advisors and attend advisor meetings

II. Manage ILA Applications:

  • Create and distribute program applications
  • Lead direct outreach to applicants through information sessions and individual appointments
  • Create database of new applicants for Director and Associate Director
  • Liaises with Office of Information Technology to process applications
  • Distribute and collate scored applications

III. Create classes:

  • Use Banner/Argos to create classes every semester
  • Submit classroom request and reservations through Terry and Campus Reservations
  • Confirm class rolls for instructors

IV. Bulletin/CAPA:

  • Assist Director with course proposals and course changes in CAPA
  • Submit updated bulletin to OVPR as needed
  • Ensure correct curriculum is posted on UGA websites
  • Upload approved syllabi to CAPA

V. Lead evaluation/assessment data collection:

  • Compile and enter Assessment of Learning information for the program
  • Manage course evaluation process by setting dates and monitoring participation
  • Send out end-of-program and service-learning surveys and compile and report data

VI. Document policies/procedures/keep records:

  • Maintain and update ILA's data/record management plan
  • Maintain and archive current student data.
  • Comprise and keep a list of all student internships and jobs.
  • Track income by type of donor.
  • Track service-learning projects across various faculty.
  • Track alumni involvement in GAIL for development purposes
  • Collect, analyze, and distribute service-learning project data

VII. Administrative duties:

  • Keep the office open from 8 am - 5 pm
  • Answer main phone and check voicemail
  • Check mailbox in logistics
  • Manage the general email for ILA
  • Manage and approve the use of the ILA conference room
  • Purchase office supplies, etc. for the program
