About the opportunity

SWCA Environmental Consultants' Reno office is seeking an Administrative Support Professional (HR Title = Administrative Specialist) to join our multi-disciplinary team. Our office specializes in Natural Resources, Cultural Resources, and Permitting, and we are looking for someone who can contribute to the smooth and efficient operation of our office.

This position requires the ability to work independently while also collaborating effectively with team members. The ideal candidate will have high attention to detail, strong time management skills, and the ability to prioritize and multi-task with minimal on-site supervision.

This is a regular, full-time hourly, office-based position with benefits located at our Reno office. The ideal candidate should be able to work Monday-Friday.

What you will accomplish

Logistics Support:

  • Organize safety gear, secure travel, distribution/collection of documents, efficient deployment of equipment, successful project data collection, and safe return of our field staff.
  • Tracking expenditures and reconcile billing.
  • You will serve as the Office Safety Representative and manage health and safety compliance tasks, schedule training courses, and monthly reporting.
  • Maintain office vehicles (preventative maintenance/car washes/coordinate repairs/claims), as well as securing rental vehicles from a branch location.

Administrative Support:

  • Answer incoming phone/email requests for administrative support both internally from employees and externally from clients.
  • Placing office supply orders, mail/FedEx, picking up groceries, maintaining the kitchen, meeting coordination, and other office-related tasks.
  • Coordinate both onsite and offsite office events (including employee, company and holiday celebrations), as well as community events and volunteer opportunities as part our SWCA Gives Back program.
  • Onboard new employees and offer on-site and remote orientation.
  • Setup desks for new hires with monitor, laptop, keyboard and mouse. Coordinate shipping and receiving of equipment.
  • Manage office equipment, vendors and act as a point of contact with property management.
  • Other administrative tasks as needed.

Experience and qualifications for success

Required Qualifications

  • A minimum of a high school diploma (or GED equivalent).
  • At least one (1) year of experience in environmental consulting, office management, logistics, or administrative assistance.
  • Proficiency in MS Office applications, including Word, Excel, Teams, and PowerPoint
  • Familiarity with Zoom and MS Teams video meeting platforms or a strong willingness to learn.
  • A current and valid driver's license.
  • Ability to lift 30 lbs.

An employee in this Reno, NV position can expect an hourly pay rate of $20.33-$26.22/hour. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
