Responsibilities

Location: Lakewood Ranch, FL 34202. This is a FT, Mon - Fri position, 8AM to 5PM

Position Summary

The Central Scheduler is responsible for accurately performing the pre-access functions required to schedule patients, which includes scheduling outpatient diagnostic procedures and completing the pre-registration and insurance verification processes. Always demonstrates Service Excellence. Must possess excellent written and oral communication skills, as well as organizational skills. The Central Scheduler is responsible for answering incoming calls and scheduling patient appointments and procedures. This includes patient registration, insurance eligibility, appointment verification, rescheduling, and the intake of other general telephone inquiries. The position also requires providing effective customer service to patients and medical offices. Scheduling Specialists possess organization and communication skills. Maintains emotional stability and calm disposition and can relate positively with all levels of professionals. Has ability to adapt to flexible work schedules and frequent interruptions. Possesses willingness to improve where necessary. Loyal, reliable, tactful, honest, and discreet always maintaining confidentiality. Exhibits professional appearance. Must be able to conduct specific assignments to successful conclusions. Has ability to solve problems and make decisions and escalate calls to triage or supervising personnel as appropriate. Other duties as assigned.

Qualifications

Essential Job Duties

  1. Answers phones and books, coordinates, and reschedules patients' appointments; relays necessary messages to office staff; registers patients in a prompt, pleasant, and helpful manner; provides necessary instructions/directions. Informs appropriate department/person of any patient pertinent patient inquiries or concerns; verifies patient demographics and insurance information; uses computer system to generate information necessary for billing; and, updates patient information, instructs patient on any necessary forms needing completion.
  2. Fulfills organizational responsibilities as assigned which may include respecting/promoting patient rights; responding appropriately to emergency situations; sharing problems relating to patients and/or staff with immediate supervisors quickly; Follow written policies.
  3. Maintains and updates current information on physicians' schedules ensuring that patients are scheduled properly and appointments are confirmed; answers questions regarding patient appointments; updates profile on all patients.
  4. Performs other duties such as answers non-appointment phone calls and route to appropriate party. Always inform patients they are being placed on hold. Take accurate, complete written messages as required.

Education:

  • High School Graduate/GED required.

Work experience:

  • Minimal of one year of medical office experience preferred.

  • Experience in data entry, customer service, collections and medical terminology preferred.
  • Cerner experience is preferred

Knowledge:

  • Possesses understanding of third-party requirements and healthcare billing.
  • Knowledge of regulations and HIPAA privacy standards is strongly preferred.
  • Medical Terminology/Health Insurance Navigation
  • Bi-lingual English/Spanish is a plus.

  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Skills:

  • Computer proficiency to include word processing and patient accounting system.
  • Strong verbal and written communications skills required.
  • Service-oriented/customer-centric.
  • Excellent organization skills and attention to detail.
  • Must be flexible, organized, and function well under pressure.

Abilities:

  • Ability to handle data entry accurately in a high-paced environment.
  • Ability to reconcile data and identify discrepancies. Demonstrated competency in basic computer skills.
  • Ability to prioritize and perform work in an organized, efficient, and effective manner.
  • Operate within the concept of patient-focused care.

Equipment Operated

  • Standard office equipment (laptop, computer, calculator, fax, copier, scanner, etc.)
  • Knowledge of electronic equipment, computer hardware and software, including applications

Work environment:

  • medical office setting

Travel Requirements:

5-15% May have to go to another location to provide support.
