Summary/Objective

The Billing Coordinator is responsible for booking new repair proposals into the system and handling billing for repair services. This role ensures accurate data entry, proper billing, and compliance with customer contracts and company policies.

Essential Functions



  • Review and Process Repair Proposals

    Ensure that billing details and unit information from the branch align with the customer contract. Confirm that proposals have proper signatures and input them into the Oracle system to initiate service.
  • Manage Down Payments

    Review payment terms and bill for any required down payments. Coordinate with the Accounts Receivable team to ensure down payments are accurately applied to invoices.
  • Billing Compliance

    Adhere to billing protocols for NTL (National), WO (Work Order), and PO (Purchase Order) customers.
  • Multitasking and Prioritization

    Handle multiple responsibilities efficiently in a fast-paced environment. Prioritize tasks and execute them accurately and on time.
  • Other Duties

    Perform additional tasks and responsibilities as assigned by management.



Requirements



  • High school diploma or GED required
  • One-year certificate from a college or technical school, or three to six months of related experience and/or training in basic business administration
  • An equivalent combination of education and experience will be considered
  • Prior experience in the elevator or vertical transportation industry is preferred
  • Working knowledge of Oracle database systems is strongly preferred
  • Strong attention to detail and accuracy in data entry and documentation
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • Effective communication skills, both written and verbal
  • Proficiency with Microsoft Office applications, especially Excel, Word, and Outlook
  • Ability to work independently as well as part of a collaborative team
