POSITION SPECIFICS

The Eberly College of Science (ECoS) Office of Science Outreach invites candidates to apply for the position of Administrative Assistant - Intermediate Support. This position reports to the Director of Science Outreach. The successful candidate should, in collaboration, expect to contribute to the following:

  • Program Support: Assist with the planning, advertising, and implementation of the office's diverse outreach programs. This includes Science-U summer camps, ENVISION: Supporting Young Women in STEM event, Haunted-U, Exploration-U, after-school programs, and other on-campus STEM events. Support and coordinate special events; reserve spaces, develop itineraries, prepare materials, coordinate work between teams, and serve as point of contact with vendors.

  • Customer Service: Greet visitors and provide information. Review, respond to, and direct inquiries from participants, part-time staff, and faculty via phone and email. Serve as registrar for all registration-based programs using Penn State's Youth Registration System, Campdoc. Process refunds, track participant form completion rates, and retrieve necessary data for each program. Coordinate the office's program scholarships and associated partnerships with various K-12 schools and other organizations.

  • Communication: Take program photosand creatively communicate science outreach events and content on approved social mediaand the office website. Compose, review, and distribute internal and external communications in collaboration with the Eberly Communications Office.

  • Office Operations: Plan, organize, support, and coordinate daily office activities and administrative processes within the office. Coordinate meeting logistics including scheduling, material preparation, and agendas. Create and maintain files and databases. Maintain inventory and order office supplies; arrange for equipment maintenance; process work orders for facilities needs. Procure, inventory, organize, and distribute supplies and services for Science Outreach and its programs/events. Resolve inquiries and ensure compliance with work unit and/or University policies and procedures related toyouth safety and records retention.

  • Other duties and responsibilities may be assigned by the Director.

In addition to educational requirements, other requirements include:

  • Prior work in supporting or implementing science-oriented outreach or education programs for diverse audiences, including K-12 youth.

  • Enthusiasm, creativity, a passion for connecting science to the public, and a commitment to customer service.

  • Outstanding interpersonal, organizational, learning and communication abilities (both verbal and written).

  • Knowledge of computer programs including Microsoft Office preferred.

  • Ability to adjust to a changing schedule, particularly during intense summer programs in June, July, and August.

  • Capability to work both independently and as an effective member of a team.

  • Ability to multitask and respond professionally in stressful situations.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) No prior relevant work experience required; previous relevant work experience accepted in lieu of education. Required Certifications: None

Due to summer programming, on-campus work is required five days a week from June to mid-August. BACKGROUND CHECKS/CLEARANCES

This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check. This position requires that you operate a motor vehicle as a part of your job duties. A valid driver's license and successful completion of a motor vehicle records check will be required in addition to standard background checks. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $34,800.00 - $50,500.00.
