We are seeking a highly organized self-starter to provide administrative support for the System Modeling, Evaluation, and Planning Group within the Force Projection Sector of the John Hopkins Applied Physics Laboratory. You'll be part of a multi-disciplinary team supporting our Nation's Strategic Weapons Systems and play an active role in team communications and knowledge management.

As a Group Administrator you will...

  • Seek opportunities to make the group more effective and productive by identifying and implementing new/improved administrative procedures.
  • Generate and distribute technical memoranda. Support preparation, reviews, editing, updating, proof reading, publishing, distribution, and archiving of memoranda, reports, letters and presentations for group staff. Organize and maintain electronic office files and logs. Perform quality assurance checks on correspondence.
  • Provide support in the areas of word processing, development and enhancement of presentations, and spreadsheet development and manipulation.
  • Help establish group security protocols to comply with APL standards amid a changing technological environment.
  • Organize and manage group shared folders and files.
  • Schedule and confirm travel arrangements for group staff. Send and confirm clearances in support of meetings. Process travel authorization forms and travel expense reports.
  • Track budget requests, allocations and expenses.
  • Administer incoming/outgoing mail and shipments.
  • Coordinate surplus and keep the up-to-date property records for the Group.
  • Contribute to group morale by planning and supporting special events.
  • Proxy time when needed and confirm all timecards are submitted. Assist staff with reserving conference rooms.
  • Assist with the onboarding of new staff members and preparation of office space for employees by interfacing with office movers and furniture purchasing representatives.
  • Help with organizing and scheduling meetings for both internal and external attendees.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a High School diploma or equivalent with minimum three years of relevant administrative experience OR a bachelors degree with at least one year of administrative experience.
  • Have exceptionally strong verbal/written communication skills and interpersonal skills: must communicate and work effectively with others, and are to recognize and correct grammar, spelling, punctuation, and logical organization errors.
  • Have shown a demonstrated ability to work on sophisticated and multiple administrative tasks independently with little supervision and willing to take on additional work and challenges and to develop new skills.
  • Have the ability to multitask, solve problems independently, and pay attention to detail.
  • Are proficient in MS Office (Word, Excel, PowerPoint, Outlook), and Adobe Acrobat Pro.
  • Are able to work independently and prioritize assignments.
  • Are able to obtain an Interim Secret level security clearance by your start date and can ultimately obtain a Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You'll exceed our minimum requirements if you have...

  • An Associate's degree or higher.
  • Previous administrative experience within APL and familiarity with JHU/APL staff, sponsors, and programs.
  • Familiarity with APL practices and procedures, including travel, purchasing, security protocols, and budgetary interactions.
  • An active Secret level or higher security clearance

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
