Position Summary |
This position supports the functions of the Georgia 4-H Volunteer Program including support of the State 4-H Volunteer Specialist. The incumbent should be detail-oriented and have excellent communication skills. This employee will meet a critical need of providing support to the total 4-H Volunteer Program and support policy compliance. This position is for an experienced individual willing to execute multiple types of administrative and support duties with minimal supervision and who can exercise discretion and sound professional judgment as it relates to leaders and their preparation and service in the 4-H program. The incumbent will effectively communicate, both verbally and in written communications, with senior administrators, senior executives, faculty, staff, volunteers, and students. |

- Communicate clearly and professionally in person, by phone and email;
- Excellent proof-reading ability, strong attention to detail, strong organizational skills, web research skills, strong time management skills and the ability to handle several tasks simultaneously;
- Possess excellent computer skills and competent in Word, PowerPoint, and Excel;
- Experience in web page development, working knowledge of office practices and procedures;
- Organizational skills;
- Ability to maintain and manage confidential information with the highest levels of discretion;
- Ability to use independent judgment;

- Support safe environments for youth by maintaining leader rosters.
- Verify event, activity, and program rosters to maintain compliance with UGA policies prior to events, programs, and activities.
- Address any necessary actions with personnel or proactivity and/or compliance.
- Provide emailed status updates and communicate leader reports with event managers prior to events, activities, programs, and as requested.
- Create and maintain documents, reports, spreadsheets, digital forms, fillable forms, databases, infographics, and presentations as it relates to positive youth development and safe environments for youth.

Duties/Responsibilities |
- Support volunteer preparation and readiness for service roles.
- Provide administrative support for the screening, onboarding, and training of volunteers and leaders for the Georgia 4-H Volunteer Program to maintain safe environments for youth.
- This responsibility includes requesting background investigations from Central Human Resources; tracking screening progress; communicating status updates to local office contacts; reconciling enrollment system with updates to track screening, onboarding, annual training, and certification completions; requesting and tracking trainings as applicable to service roles; supporting the preparation of documents and resources; organizing records through 4-H Enrollment; assisting with the coordination of recruiting, screening, and onboarding volunteers for the state 4-H office; monitoring unit email to address any questions related to this process; maintaining filing system; and working with all leaders to ensure compliance and readiness for service roles.

- Support volunteer recruitment and engagement resources.
- Assist with tracking volunteer assignments and arranging service logistics.
- Help to collect and prepare requested correspondence, agendas, and other documents for volunteer-related training, events, programs, policy-compliance, or activities.
- Support the preparation and update of resources, which may include posting materials and information to the Georgia 4-H website, maintaining volunteer calendar of training and events, and/or emailing follow-up details.
- Review statewide 4-H Club Charter applications for completeness and accuracy, and return status updates in the 4-H Enrollment system, this task will also include annually preparing lists and printing certificates for all new club charters.
- Track volunteer engagement in the tracking system.
- Support survey development, survey distribution, and/or material development to recruit, sign-up, track progress, evaluate impact, gauge satisfaction, support research, and enhance the experience of volunteers and volunteer supervisors.
- Support recognition and appreciation activities.

- Support faculty and staff with their compliance with policies and procedures, such as assistance with meeting the requirements of UGA Policy for Programs and Activities Serving Minors, UGA Background Investigation Policy, UGA Motor Vehicle Policy, UGA Non-discrimination and Anti-Harassment Policy.
- This includes tracking updates, monitoring compliance, assisting with routine resource reviews, supporting the update of existing materials, and assisting with developing training materials for faculty and staff development. Assist with the maintenance of physical and/or electronic files.
