The ideal Candidate hired will provide high-level administrative support to the Operations Department, including supervising support staff, coordinating daily administrative workflows, and ensuring efficient office operations under minimal supervision.

Examples of Duties

- Establishes, organizes, and oversees the maintenance of the department personnel, resources, operational files, and records.
- Supervises clerical support staff.
- Develops administrative standard operating procedures for department clerical staff; audits procedures and files for compliance with standard operating procedures.
- Prepares and drafts professional correspondence, reports, and data dashboards using office software (e.g., MS Office, SAP, Omnitrans Intranet, and UKG).
Prepares various tracking reports for management review of daily operational information. - Maintains departmental budgetary reports. Obtains quotations, prepares requisitions, and processes invoices. Prepares reports and makes recommendations; performs account analysis. Arranges travel and lodging reservations for department staff.
- Assigns routine tasks to supervisory staff and develops and maintains logs to track completion.
- Issues uniforms, equipment and supplies and maintains/monitors departmental inventory and maintenance of office equipment and copiers.
- Coordinates and documents meetings; prepares actionable meeting summaries and manages follow-up tasks.
SUPERVISORY RESPONSIBILITIES
Directly supervises administrative clerk(s). Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE
High school diploma or equivalent and two (2) or more years of related experience and/or training; or an equivalent combination of education and experience.
Must be familiar with current business operating systems, software, and programs. Ability to type at least 60 wpm.
OTHER SKILLS AND ABILITIES
Ability to demonstrate the following core competencies: communication and interpersonal skills; initiative and dependability; organizational and time management skills; confidentiality and discretion; adaptability to change. Ability to manage competing priorities in a fast-paced, deadline-driven environment.
