Job Summary
#CA-SS This position is essential to the overall success of the Department, and indirectly UC Davis Health. This position provides support to the Orthopaedic Surgery Education Programs. The office supports 26 residents and 9 fellows. Additionally, the program oversees all medical student education activities related to orthopaedics, providing opportunities to 60-80 medical students each academic year. Support includes but is not limited to maintaining of trainee credentialing; assistance with the general residency and fellowship recruitment process; assistance with all administrative aspects of the medical student education programs and Continuing Medical Education programs. The incumbent will be primarily responsible for updating and distributing training participant leave memos; preparing and submitting resident rotation documentation; preparing and distributing department service assignment memos and didactic schedules; generating and distributing electronic evaluations to residents, fellows, medical students and faculty; assisting with resident and fellow recruitment activities; and special event planning. - High School Diploma, GED or equivalent experience.
- One-year minimum experience working in an academic medical setting.
- Excellent interpersonal and communication skills, both verbal and written, to understand and appropriately respond to multiple and frequent inquiries, requests, and instructions in a courteous, cooperative, and professional manner.
- Tact, diplomacy, and flexibility to affectively deal with faculty, physicians, staff, trainees, and the public.
- Successful record of assisting coworkers and actively participating as a collaborative team member.
- Ability to independently perform a variety of functions accurately and to work in an environment of frequent interruptions with ability to stay on task; to organize workload and set changing priorities; to identify deficiencies in operating procedures and independently identify and create potential solutions, implementing as directed; and to work accurately neatly and quickly under pressure and strict deadlines.
- Ability to establish a good rapport and professional working relationship with all departmental personnel.
- Demonstrates ability to use word processing and other computer software to type from verbal/written instructions with speed and accuracy; ability to read, compose and edit documents with an excellent working knowledge of English grammar, punctuation, spelling and proofreading skills.
- Intermediate knowledge of functions and experience in use of spreadsheet software, such as Excel, to perform mathematical tasks accurately; create and track budgets and provide accurate projections and create meaningful reports.
- Proficiency in Microsoft applications including Microsoft Word and Access for Windows, electronic calendaring and email software.
- Ability to effectively use video conferencing platforms to schedule, host and record virtual meetings and events.
- Working knowledge of office equipment including printers, copiers, fax machines, etc.
Preferred Qualifications
- Experience working with School of Medicine software, such as VSAS and E-Flight, preferred.
- Experience working with faculty, physicians, residents, and medical students preferred.
