JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University Libraries is seeking an Administrative Assistant for the Dean's Administrative Office.

This position is responsible for providing administrative support to the leadership team and performing a wide range of essential administrative duties. The Administrative Assistant will coordinate a variety of University Libraries events and internally focused programming. This role also includes providing support for externally focused events and collaborating with Libraries leadership and departments to ensure successful event execution.

Additionally, the position will serve as the 25Live primary contact, conducting training for stakeholders to ensure effective use of the scheduling tool. The Administrative Assistant will coordinate meeting room requests, work with support groups to meet event needs, and other general administrative duties.

Additional responsibilities of the Administrative Assistant include but are not limited to:

  • Coordinate University Libraries events and internally focused programming, including forums, retirement/birthday celebrations, meet and greets, picnics, awards, and receptions.

  • Provide administrative support for Libraries' departments managing externally focused events.

  • Collaborate with the Libraries' leadership, colleagues, and other departments to facilitate communication and support for events.

  • Facilitate assigned meeting rooms, ensuring they meet the needs of various groups and events. Collaborate with other departments and support groups to facilitate events in these meeting spaces, ensuring logistical needs are met.

  • May work closely on the coordination of University Park classrooms to ensure seamless operations.

  • Assist the leadership team with calendar requests, travel arrangements, distribution lists, and meeting coordination.

  • Provide assistance with the Libraries' Intranet, including content updates.

  • Facilitate the logistics of staff and faculty recruitment (search meetings, candidate travel, maintaining documentation).

  • May serve as the office Technology Liaison, which includes tracking equipment lifecycle, arranging maintenance, and providing technology support; assist with event recordings.

The Administrative Assistant will work both independently and collaboratively in a team-based work environment, utilizing organizational and multi-tasking skills, to complete this position's responsibilities.

Education and Experience:

This position will be filled at the level of Intermediate Support or Senior Support, depending on the final applicant's experience and education. The Intermediate Support level requires a minimum of a High School Diploma or General Equivalency Diploma (GED) for education and two years of relevant experience, or an equivalent combination of education and experience. Additional education and/or experience are required for higher-level positions.

  • Demonstrated ability to be adaptable and driven to provide excellent customer service

The salary range for this position, including all possible grades is:

$38,300.00 - $61,000.00
