DESCRIPTION

Under the general supervision of the Field Operations Manager, the Special Events Parking Events Coordinator Lead plays a pivotal role in planning seamless large events for faculty, staff on campus. This position requires a detail-oriented and customer-focused individual with strong organizational and communication skills. The Special Events Parking Events Coordinator will collaborate with various internal and external stakeholders to ensure the successful planning, coordination, and execution of special events, providing exceptional and memorable experiences for our clients and guests.

The coordinator is expected to be able to portray the client's event vision to the Field Service team by creating accurate, timely and complete event orders . The special events program is run in an efficient and financially responsible manner to ensure that sales goals are met. This requires timely billing, guest counts and confirmed signed contracts, and final payment. Coordination of advertisement sales in parking structures and placement of ads. Other requirements include performing administrative tasks relating to sales, problem solving with customers, handling heavy telephone volume, dispatching, providing work direction to student staff, and functioning independently in the absence of the incumbent's supervisor.

QUALIFICATIONS
  • Skill in conceptualizing, planning and organizing events and projects. Proven skill in arranging logistics, producing materials, participant registration, billing and problem solving, and ability to close sales.

  • Skills in negotiating, including listening skills and skills in persuasion, to reach compromise among people with different points of view.

  • Strong mathematical skills; strong cash handling methods and audit principals.

  • Excellent customer service skills. Ability to communicate in a helpful, pleasant and informative manner to a wide variety of people, both in person and on the telephone. Demonstrated ability to effectively handle heavy telephone volume and solve customer needs and problems.

  • Ability to work independently and make decisions (based on standard operating procedures) with minimum of instruction and supervision.

  • Strong demonstrated skill to use computer software such as; word processing, email, database, spreadsheet, presentation and special events software.

  • Strong demonstrated organizational skills with ability to prioritize job functions, meet deadlines and ensure smooth work flow and handle multiple tasks simultaneously, while maintaining attention to detail.

  • Knowledge and ability to maintain confidentiality of required records such as client records.

  • Proficient with MS windows,Word, Access, Excel, Outlook, with the ability to operate customized Event Management System and Point of Sale system.

  • Demonstrated ability to work effectively with frequent interruptions, changing priorities and conflicting deadlines.

  • Demonstrated skill and knowledge to provide general and specific information accurately to a wide variety of individuals at various levels.

  • Skill to create and understand financial reports.

  • Ability to resolve traffic control conditions during an emergency situation or until supervisor or Community Safety Officer is notified of existing condition. Ability to direct traffic, when needed. Ability to assist in any emergency situation as directed by supervisor or direct Community Safety representative.

  • Ability to give accurate and concise directions to all areas and departments of UCSD.

  • Ability to accurately balance revenue received on a daily basis and accurately complete required audit reports.

  • Familiarity with special event planning, equipment and set-up logistics as related to parking services and traffic management.

  • Demonstrated ability to reorganize schedules quickly to effectively manage rapidly changing priorities and/or emergencies in a busy environment.

  • Excellent verbal and written communication skills with the ability to effectively communicate with a diverse group of people including vendors, faculty, staff and students.

  • Ability to model and advocate UCSD Principles of Community.

SPECIAL CONDITIONS
  • DOJ/FBI, and DMV background check and clearance required prior to employment.

  • Some positions filled under this posting may be required to hold valid driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program.

  • Must be able to work outdoors in a variety of climates.

  • May be assigned overtime or alternate work schedules, such as evening shift, weekends and holidays.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
