Description
The Senior Executive Assistant, Presidents Office is responsible for a wide range of high-level functions to support the President in a challenging and fast-paced environment. Provides high-volume administrative support, while demonstrating discretion, organization, professionalism, and adaptability.
Works independently to manage competing priorities and special projects. Responsibilities will include (but are not limited to) utilizing advanced writing and editing skills to prepare internal and external correspondence, managing the President's schedule and travel, and communicating directly, and on behalf of the President, with staff and partners.
Qualifications
Minimum Education Bachelor's Degree or equivalent experience will be accepted in lieu of degree. (Required)
Minimum Work Experience 7 years Experience supporting a C-level executive. (Required)
Required Skills/Knowledge Demonstrated integrity and respect for confidential information. Excellent writing, editing and proofreading skills. Advanced knowledge of Microsoft office suite, including Microsoft Outlook, Word, Excel and PowerPoint. Ability to work independently in a fast-paced environment. Ability to coordinate several tasks at one time and perform well under pressure. Creative, adaptive, and responsive approach to relationship management. Ability to exercise diplomacy, gather information from others, make inquiries and synthesize information. Detail-oriented. Excellent problem-solving, decision-making, interpersonal and communication (written and verbal) skills Strong organizational skills that demonstrate an ability to perform and concurrently prioritize multiple projects and competing deadlines. Skill in the application of complex instructions, written and verbal. Ability to accurately relate such instructions in full or part to other staff and partners. Proven ability to develop tactics to meet goals and objectives.
Functional Accountabilities Executive Support
- Manage the President's calendar. Keep abreast of immediate long-term commitments and plans, identify conflicts, flag problems for intervention and correct as appropriate. Ensure the President's knowledge of schedule 24 hours in advance.
- Schedule and manage meetings on behalf of the President. Prepare and collect meeting materials, including agendas, logistics, and meeting minutes.
- Collaborate with key staff and partners to prepare meeting and event briefings, talking points, presentations, and proposals on a variety of topics for internal and external audiences.
- Create and maintain files, review drafts and finished documents for accuracy and grammar, including sensitive and confidential materials.
- Arrange and manage travel. Collect and prepare relevant information necessary for the President's travel.
- Serve as a gatekeeper and review matters to be brought to the President's attention. Prepare background information and provide the President with relevant information to make decisions.
- Serve as a resource and liaison for the President regarding developing issues and concerns.
- Participate in meetings, task forces and work groups both internally and externally on behalf of the President. Manage resulting requests and action-items for purposes of briefing the President.
- Manage the President's credit card charges and receipts. Ensure timely reconciliation and submission of expenses.
Manage Communication/Collaboration
- Communicate on behalf of the President.
- Compose, organize, review, edit and finalize correspondence on behalf of the President, providing signature-ready work.
- Follow-up on pending matters with limited direction and provide feedback in a timely manner.
- Serve as a liaison between the President and external partners.
- Utilize advanced writing and editing skills to develop presentations for external and internal groups and spreadsheets.
- Communicate and/or coordinate the President's instructions and directives with various individuals and/or departments/divisions; furnish and obtain information from others as needed.
- Answer routine inquiries, and obtain/furnish information to save the President's time.
Project Oversight
- Manage high-level internal and external special projects in collaboration with other staff, departments, and/or organizations as assigned by the President.
- Prioritize, manage, and coordinate projects. Follow through on open issues in a timely manner.
- Identify matters that require the President's attention and help determine, triage and track resolutions.
- Manage and analyze sensitive matters for the President's office, exhibiting a high degree of discretion and confidentiality.
- Facilitate and expedite workflow within the President's scope of oversight; initiate follow-up action as needed.
- Research a wide variety of information requests independently; analyze and interpret data from a variety of sources and prepare trends and status reports for the President.
- Utilize critical and analytical thinking to solve problems and take decisive action.
Operations Management
- Assist in implementing Safe Kids Worldwide and Children's National policies and procedures. Ensure effective day-to-day operations of the President's office.
- Monitor department processes and seek opportunities to improve operations.
