Campus Administrative Assistant

The Campus Administrative Assistant provides administrative support to faculty, staff, and students by managing office operations, coordinating schedules, maintaining records, and assisting with campus events. This role ensures smooth day-to-day operations and enhances the efficiency of the academic environment.

Responsibilities

Principal Accountabilities & Deliverables

  • Serve as the first point of contact for faculty, students, and visitors, providing information and assistance
  • Manage communications with campus leadership, campus staff, and relevant campus partners
  • Maintain and organize records, files, and databases related to student enrollment, faculty schedules, and administrative reports
    • Process personnel change workflows and provide status reports needed for pertaining to staffing, employee relations initiatives, and accreditation requests/visits
  • Coordinate organized new hire orientation process and collateral
    • Schedule and track completion of 45 and 90-day reviews for all new hires
  • Support gathering, maintenance, and updating of compliance related filings for programmatic accreditation agencies and all state regulatory agencies
    • Verify all credential and accreditation documents are tracked and received
    • Act as a liaison with other departments and outside state agencies to ensure quarterly updates of all applicable surveys and compliance documents
    • Participate as part of the project team for accreditation visits, campus crime annual updates, ERP updates
  • Assist in scheduling meetings, appointments, and campus events
  • Prepare and distribute documents, reports, and correspondence as needed
  • Coordinate office supplies inventory and place orders as required
  • Support faculty and staff with administrative tasks such as travel arrangements, expense reports, and document preparation
  • Verify compliance with institutional policies and procedures
  • Assist with special projects and other duties as assigned by campus leadership
  • Other duties as assigned


Qualifications

Education / Experience

  • HS Diploma or GED (required) and three (3) years' experience in Administration-or-
  • Associate's degree in business (preferred)

Skills

  • Proficiency with the MS Suite including Outlook, One Drive, Sharepoint, TEAMS, Word, Excel, and Power Point

Abilities

  • Ability to handle confidential information, strong communication and organizational skills, attention to detail and a customer-focused attitude
  • Ability to productively manage multiple projects effectively and efficiently

Work Environment

  • Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.

  • Onsite; Work environments may include exposure to student learning environments with a variety of conditions. Employees must be able to follow all safety precautions including the use of personal-protective equipment. Employees must also be able to adhere to site-specific safety procedures.
