The Payroll Specialist will be responsible for ensuring accurate and timely payroll processing for employees across 44 states and supporting global payroll administration. This role involves managing multiple Federal Employer Identification Numbers (FEINs) and maintaining compliance with federal, state, and local regulations, as well as international payroll requirements. Strong analytical skills, meticulous attention to detail, and a commitment to maintaining the highest levels of confidentiality and integrity are essential.

ESSENTIAL FUNCTIONS

  • Payroll Processing:
    • Process bi-weekly payroll for employees in 44 states, ensuring accuracy and compliance with organizational policies and government regulations.
    • Handle payroll operations for multiple FEINs, ensuring precise and timely tax filings and payments.
    • Support global payroll administration, including coordination with international payroll providers and ensuring compliance with international payroll laws and regulations.
  • Compliance and Reporting:
    • Ensure compliance with federal, state, local, and international payroll laws and regulations.
    • Prepare and submit payroll-related reports to government agencies and international authorities as required.
    • Assist in audits by providing necessary payroll information and documentation.
  • Data Management:
    • Maintain and update employee payroll records in the payroll system, including new hires, terminations, and changes in pay rates.
    • Verify and reconcile payroll data to ensure consistency and accuracy.
  • Benefits and Deductions:
    • Administer employee benefits deductions, including health insurance, retirement plans, and other voluntary deductions.
    • Ensure proper calculation and remittance of payroll taxes and other withholdings.
  • Customer Service:
    • Respond to payroll-related inquiries from employees and management in a timely and professional manner.
    • Resolve payroll discrepancies and issues promptly, providing clear and accurate explanations.
  • Process Improvement:
    • Identify and implement opportunities for process improvements in payroll procedures to increase efficiency and accuracy.
    • Stay current with industry trends and best practices in payroll administration.

MINIMUM REQUIREMENTS

  • Minimum of 5-7 years of payroll processing experience, preferably in a multi-state, multi-FEIN, and/or international payroll environment.
  • Proficiency in payroll software (e.g., Workday, UKG, ADP) and Microsoft Office Suite, particularly Excel.
  • Strong understanding of payroll principles, tax regulations, wage and hour laws, and international payroll requirements.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • High level of accuracy and attention to detail.
  • Ability to handle sensitive and confidential information with discretion.

PREFERRED QUALIFICATIONS

  • Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field preferred.
  • Certified Payroll Professional (CPP) designation preferred but not required.
  • Experience processing payroll in Workday

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Ability to work for long periods at a computer/desk
  • Standard office environment
