This is an exciting opportunity for an experienced Administrative Assistant to join the Global Real-World Evidence and Health Outcomes Research organization (gRWE & HO). In this role, you will report directly into the Therapy Area Head for General Medicines and provide support to LT Therapy Area Heads for Oncology and Specialty. This role will also work in close alignment with other Administrative Assistants across gRWE & HO and wider CPO organizations where appropriate. The successful candidate must be a critical thinker with outstanding attention to detail and strong organizational, interpersonal, and communication skills.

Responsibilities:

  • Management of complex calendars, schedules, plans and coordinates meeting logistics as requested for senior staff within gRWE & HO

  • Manages detailed international travel arrangements as requested and submits travel expenses in a timely matter.

  • Work closely with internal and external global teams to support critical activities, meetings and interactions.

  • Support site-based and remote departmental engagement activities as needed including support for hosting site visitors and supporting site-based meeting needs for key internal/external or departmental meetings.

  • Assist hiring managers with any recruitment needs, supporting new hire onboarding and leavers (on-site and remote-hardware, schedule meetings with key stakeholders), including interview scheduling, working closely with HR and in alignment with associate HR policies and processes.

  • Generating and tracking POs and invoices

  • Manage confidential / sensitive information in an appropriate manner with a high level of discretion.

  • Actively participate in a community of practice forum within the gRWE & HO organization to share learnings, best practices, and work through challenges to overall ensure effective operations for the business

Basic Qualifications:

  • Associate degree

  • 5+ years of administrative assistant experience

  • Experience with business systems and applications, in particular MS Office Suite (MS Outlook, PowerPoint, Word, Excel, SharePoint, Teams)

  • Experience with internal systems, including Concur, Appspace, Workday, Workplace, Groundscope, etc.

  • Experience working in a matrix team environment

Preferred Qualifications:

  • Bachelor's degree

  • Experience in the pharmaceutical industry or supporting a Life Science group

  • Proven ability to act independently and manage a variable workload. It is imperative to work at pace with fast-changing priorities and goals

  • Resilient individual who thrives working in a fast-paced environment and demonstrates attention to detail and decision-making skills to respond to high pressure situations.

  • Discretion and confidence to interact with people at all levels, internally and externally with situational sensitivity.

  • Outstanding communication, planning and organizational skills

  • Strong collaboration and relationship building skills. Team player with the ability to gain the confidence of and cooperation of peers.

  • Experience working with tight deadlines while under pressure, while maintaining a high level of accuracy, attention to detail and integrity

  • Experience engaging with teams across multiple locations, time zones and cultures

This is a hybrid position available in Upper Providence, PA, USA.
