Job Title: Accounts Payable Clerk

Reports To: Finance Manager or Director of Finance

Our clientis a nonprofit organization dedicated to preserving and protecting the environment through community education, conservation efforts, and sustainable practices. They are seeking an Accounts Payable Clerk to join their dynamic finance team. This is a critical role that will ensure the smooth operation of their financial processes, helping to further their mission of environmental stewardship.

Position Summary:
The Accounts Payable Clerk will be responsible for managing and processing all invoices, vendor payments, and ensuring compliance with the organization's financial policies. This position requires excellent attention to detail, organizational skills, and a commitment to supporting the nonprofit's mission through efficient financial operations.

Key Responsibilities:

  • Process all incoming vendor invoices, ensuring proper coding, approval, and timely payment.
  • Prepare and schedule payments to vendors in accordance with payment terms.
  • Reconcile vendor statements and resolve discrepancies or billing issues.
  • Maintain organized records of invoices, payment histories, and vendor communication.
  • Monitor accounts payable aging reports to ensure timely processing and avoid overdue payments.
  • Assist with the preparation of financial reports, including accounts payable summaries and budget reports.
  • Ensure compliance with nonprofit financial policies and procedures.
  • Support audits by providing documentation and responding to inquiries related to accounts payable.
  • Assist with general ledger account reconciliation for accounts payable transactions.
  • Respond to internal and external inquiries regarding accounts payable issues.
  • Maintain positive vendor relationships by providing exceptional customer service and resolving concerns promptly.

Qualifications:

  • High school diploma or equivalent (required); associate's degree or accounting certification (preferred).
  • Proven experience in accounts payable or related finance roles; nonprofit experience is a plus.
  • Strong knowledge of accounting principles and financial best practices.
  • Familiarity with accounting software (e.g., QuickBooks, Sage, or other nonprofit accounting software) preferred.
  • Proficiency with Microsoft Office Suite (Excel, Word, etc.).
  • Detail-oriented with excellent organizational and time-management skills.
  • Ability to handle sensitive and confidential information with integrity.
  • Strong communication and interpersonal skills, with a customer-service orientation.
  • Ability to work collaboratively in a team environment and independently when required.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
