Job Summary

The anticipated duration of this temporary assignment is approximately 4 months. Includes optional medical benefits, holiday pay and sick leave accrual.

The Career Launch Coordinator will be part of the course support team for the Foundations 2 (F2) and Career Launch year (4th year) of medical school. Career Launch includes advanced rotations and classroom-based courses to support students as they enter their 4th year, as well as preparing them to close out their medical school experience and start residency work.

Key Responsibilities:

Program Coordination & Operations
  • Collaborate with program managers and faculty to meet the educational needs of Career Launch students.
  • Manage day-to-day operations of Career Launch courses and programs, including:
    • Completion, coordination, and delivery of course materials.
    • Room reservations and scheduling updates.
    • Uploading course content to the curriculum management system.
    • Communication with faculty and students regarding program logistics.
On-Site Classroom Support
  • Coordinate with the campus technology team to ensure the functionality of classroom technology (presenter's computer, projector, and lecture recording systems).
  • Provide on-site classroom support, including:
    • Assisting with special session room setup.
    • Updating classroom reservations as needed.
  • Support In-Person Events: The coordinator must be on campus to support in-person events for the Intro to Career Launch and CODA courses from March to May.
Student Attendance Tracking
  • Monitor and track student attendance across multiple required activities.
  • Follow up with students regarding attendance issues or concerns.
Curriculum & Data Management
  • Maintain and update curriculum management tools, including CLE and Ilios:
    • Make changes to student calendars, room assignments, and learning materials.
  • Utilize tools such as Smartsheet, Qualtrics, Box, and Excel to analyze and organize program information and assessment data.
Communication & Stakeholder Support
  • Serve as the primary point of contact for students and faculty:
    • Answer questions, disseminate program information, and address ad hoc issues.
    • Ensure timely resolution of issues affecting students and faculty.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.     Department Description

    UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

    • Strong Communication Skills: Capable of clear, professional communication with students, faculty, and program managers.
    • Technical Proficiency: Experience working with technical platforms such as Smartsheet, Qualtrics, Box, and Excel.
    • Customer-Service Orientation: Approachable and responsive in supporting the needs of students and faculty.
    • Problem-Solving Skills: Able to resolve issues efficiently and effectively.
