Job Description Summary:The Atmospheric Chemistry, Observations and Modeling Lab at the National Center for Atmospheric Research is excited to announce an opening for a dynamic and resourceful Administrator I, providing high-level support to our Director's Office, managing our scientific visitor program, leading event planning, assisting with hiring and onboarding, and financial management related to these responsibilities.

ACOM is a multidisciplinary lab leading and supporting community-driven research to address important questions about the effects of chemistry in the atmosphere, such as air quality and climate change, through observational instrumentation that we fly around the globe, world-class weather and climate modeling, and satellite programs and data techniques.

------ What You Will Do:

Here is a summary of what one would expect to be responsible for in this role.

Key Responsibilities:
  • Administrative support for the Lab Director's Office: Provides a high level of support to the Laboratory Director, Deputy Director, and Lab Administrator, including proactively planning and managing meetings, activities, and communications, coordinating the production of lab-wide documents, plans Advisory Board meetings and member appointments, and other actions.

  • Visitor Program and Special Appointments Lead: Responsible for oversight and coordination of all aspects of the ACOM Visitor Program, including managing the visitor request and approval process, handling the visitor setup and onboarding process, handling visitor payments, acting as a liaison to HR on housing and visa needs, manages the visitor budget. Oversees ACOM's Affiliate Scientist visitor program. Manages Cicerone fellowship visitors and budget.

  • Human Resources: Assists and serves as a backup to Lab Administrator in human resources activities including term extensions, promotions, the annual performance appraisal process, and hiring. Oversees and coordinates new employee onboarding, setup, and office space assignments.

  • General Administrative Support Lead: Ensures that the office is well-stocked and outfitted. Responsible for ACOM space planning to ensure that office assignments are made wisely and fairly. Leads ACOM event planning. Supports complex purchasing. Partners with, mentors, and directs the work of ACOM's administrative assistant, serving as travel backup. Oversees several lab financial accounts. As a member of the ACOM administrative team, mentors, crosstrains, and strives to offer and seek help in balancing workload during busy periods. Develops skills and tools/worksheets/systems to allow administrative teammates to back each other up. Serves as the back up for the Export Compliance Coordinator role and is the primary to perform Export Compliance Coordination for visitors.

------ Who We'd Love to Join Our Team Education & Experience REQUIRED:
  • Bachelor's degree in a relevant academic discipline plus two years of relevant experience

  • or an equivalent combination of education and experience.

Knowledge, Skills, and Abilities REQUIRED:
  • Strong sense of initiative, resourcefulness, and adaptability.

  • Experience supporting a Director, Director's Office, or similar.

  • Advanced experience in a wide variety of administrative responsibilities.

  • Experience in budget development and financial management.

  • Advanced experience in event planning.

  • Advanced experience with typical office software. Talent for adopting and optimizing the use of new business systems.

  • Strong experience with domestic and international travel coordination.

  • Ability to work independently on assigned responsibilities and solutions to problems within established guidelines.

  • Excellent communication in traditional written and spoken formats, skill in modern hybrid communication methods

  • Effective time management, prioritization, and organizational skills.

  • Demonstrated ability to work as a team player, sharing information, mentoring, and providing assistance.

  • Ability to handle confidential personnel and budget information with appropriate discretion.

Knowledge, Skills, and Abilities Desired but Not Required:

  • Experience developing and sharing efficient and effective administrative support processes.

  • Human resources experience - hiring, promotions, onboarding, visas.

  • Google Suite experience.

  • Experience with scientific institutions.
