Supply Chain Procedural Coordinator

Summary:
Under the general supervision of Brown University Health Supply Chain Operations Leadership Supply Chain Procedural Coordinator provides high-level customer service and operational support toprocedural services such as perioperative cardiovascular and diagnostic imaging and supporting procedural departments.

Responsibilities:

Maintains quality assurance and practice standards in accordance with established system policies procedures and objectives.Recognizes or anticipates problems and refers them immediately to the appropriate person for resolution if needed.

Follows established processes to reasonably ensure uninterrupted Supply Chain support needed forin-scopeprocedural areas and related ancillary departments.

According to the area performs any combination of the following duties: picking counting organizing documenting and/or ordering and receiving of equipment and supplies.

Assures supplies are available to support patients and caregivers in supply chain managed operating rooms procedural areas and ancillary departments

Identifies and selects a wide variety of medical surgical supplies and equipment to provide the requirements for patient care in procedural cases including case carts if applicable.

Documents and timely communicates unmet needs to support procedural cases such as from case carts or inventory escalating as appropriate.

Responds to calls for in-scope additional equipment and instruments as needed.

Restocks emergency and specialty carts and trays if in-scope for Supply Chain management.

Transports carts instruments and supplies if in-scope for Supply Chain management.

Reshelves unused medical-surgical supplies if in-scope for Supply Chain management.

Maintains a clean and organized work area to support process quality and efficiency optimization.

Maintains supplies and equipment within the assigned areas in a clean and orderly manner including storage rooms. This includes overall organization shelves bins carts and clear and correct labels.

Identifies quantifies and acts on variables which impact process quality. Appropriately reports supply shortages and anticipated unmet needs.

Coordinates with Supply Chain colleagues or interacts directly with suppliers to confirm or expedite delivery of orders and/or initiate and execute returns if required.

Coordinates with Supply Chain colleagues or provides inventory management such as ordering receiving rotating dated material management and auditing medical surgical and other supplies to maintain adequate levels to support procedural areas and prepare and maintain case carts if applicable. Identifies and resolves discrepancies.

Performs other related duties such as answering telephone and pager relaying messages conducting stock audits and reconciliations cleaning work area filing and documentation etcetera as required.

Participates in the annual supply physical inventory and acts as a Supply Chain representative during audits if needed.

Supports the product recall and substitution processes including communication as necessary.

Functions independently within broad scope of department policies and procedures; refers specific problems to Supply Chain leadership where clarification or exception may be required.

Works with Supply Chain Leadership to identify and execute department strategic and tactical goals for process efficiency and cost reduction..

Provides functional guidance and training to new employees regarding supply chain operations.

Performs other duties as required.

Other information:

BASIC KNOWLEDGE:

High School Diploma or equivalent required and a minimum of2 years of experience in Supply Chain hospital procedural areas or medical surgical supply management.

Basic knowledge of medical terminology aseptic techniques surgical instruments and equipment hospital procedural environments and inventory management preferred.

A high-level of interpersonal skills to effectively represent Brown University Health and Supply Chain in interaction with all levels of personnel within and outside the organization.

Proficient in basic Microsoft Office tools and ability to learn necessary supporting information systems

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Sits stands and walks intermittently throughout the day. Must have the ability to lift and carry up to 50 pounds push and/or pull heavy carts and equipment.

Visual and manual dexterity to manage inventory and equipment.

General hospital environment with expected conditions associated with patient care. Some exposure to the outside elements and some heat and cold discomfort.

Exposure to contaminated items strong detergents and antiseptic solutions.

Any potential hazard is minimized by adherence to safety procedures and the use of protective clothing and equipment as directed by department.
