The Ambulatory Transformation Manager is responsible for overseeing the Ambulatory Transformation project portfolio comprised of performance improvement and space planning projects. The position directly oversees a staff of three individuals who work in the performance improvement and space management areas. The Ambulatory Transformation Manager is responsible for selecting work stream leaders, prioritizing and assigning projects, tracking project status, and overseeing staff performance. The Ambulatory Transformation Manager partners with the ambulatory management team to meet responsibilities and assure appropriate involvement and integration of Ambulatory and physician leadership stakeholders in work and decision-making, resolve or escalate issues, communicate status/progress to management and physician leadership groups, and assure that key decisions are identified and made in a timely manner. Further, the Ambulatory Transformation Manager acts as a liaison between the client/users and all other project participants including consultants, contractors, vendors, and outside jurisdictional agencies.

Essential Functions

Must perform all duties and responsibilities in accordance with the hospital's policies and procedures, including its Service Standards and its Code of Conduct.

  • PROJECT EXECUTION: Ensures overall implementation of Ambulatory Redesign project in accordance with the vision, strategy, guiding principles, implementation plan including timelines, leading practices, and applicable clinical licensure. Such implementation includes space planning for practice expansion and development.

    • Facilitates and participates in comprehensive user design sessions to ascertain the ideal patient flow which then serves as the basis for supporting the practices and developing the facility space plan.

    • Emphasizes and promotes an environment of standardized clinical work where possible and appropriate, with a focus on superior clinical outcomes, patient and physician experience, clinical effectiveness and continuous improvement of performance.

    • Leads, participates, and provides insight on key decisions for clinical and operational business areas impacted by space and performance improvement projects.

  • BUDGET MANAGEMENT: Oversees the Ambulatory Transformation cost center ensuring budgets are tracked and met.

  • RESOURCE MANAGEMENT: Creates department resource plan; recommends or hires, supervises, and evaluates Ambulatory Transformation team members, and provides coaching and direction so that they successfully meet their responsibilities.

  • DECISION-MAKING: Leads, participates, and provides insight on key decisions for clinical and operational business areas impacted by performance improvement initiatives; assure timely decision-making.

  • PROGRAM MANAGEMENT: Responsible for day-to-day leadership and administration of Ambulatory Transformation team, with assistance from project managers and team members; monitor project status, taking action to prevent timeline slippage; make project performance transparent through formal status reporting and measurement of progress against metrics; communicate status to executive leadership, physician leaders; manage program management office.

  • PROJECT DELIVERABLE QUALITY: Reviews and approves all project milestone deliverables and facilitate review and approval process with physician leaders, executive sponsors.

  • PROCESS REDESIGN: In coordination with operational teams, monitor redesign of clinical and business processes and confirm the approach for tracking and communicating performance improvement in accordance with the benefits realization schedule and KPI commitments.

  • PERSONNEL MANAGEMENT/PHYSICIAN RELATIONS:

    • Recognizes physicians and care teams who successfully implement Ambulatory Redesign and performance improvement projects.

    • Works collaboratively with the VP Ambulatory Care and Ambulatory Medical Director, COO PCHA and Medical Director PCHA to address issues regarding implementation of performance improvement and space initiatives.

    • Works actively to promote positive relations with other Departments, the Physicians, and the broader LPCH provider network.

    • With Executive Director, implements communication plan that includes project status, accomplishments and issues with leadership.

  • ISSUES RESOLUTION/RISK MITIGATION: Implements issues resolution and risk mitigation processes; ensure that issues are resolved or escalated to appropriate forums for resolution; identifies barriers to project success and facilitate risk management planning.

  • INTEGRATION: Ensures integration, coordination and standardization between clinics; establishes integrating structures with physicians and role model partnership; recommends changes to the governance structure to further stakeholder engagement, alignment, and integration; monitors activities of other projects with interdependencies with the Ambulatory Redesign project (e.g., EWS, Epic).

  • COMMUNICATION: Develops and oversees implementation of projects communication plans; champions projects to others in the organization; with Executive Director leads communication of project status, accomplishments and issues with physician and administrative leadership.

  • VENDOR MANAGEMENT: With Executive Director, manages relationships with key vendors, consultants and contractors.

  • EFFECTIVE PMO COORDINATION: Manages the PMO office and enforce the use of leading practice project management methodology; maintain current implementation plan.

Minimum Qualifications

Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.

Education: Bachelor's degree in a work-related discipline/field from an accredited college or university.

Experience: Five (5) years of progressively responsible and directly related work experience. Prior experience in leading large-scale implementation projects in provider setting, partnering with physicians, and managing change.

License/Certification: None required.

Knowledge, Skills, & Abilities

  • Deep understanding of Lean/Packard Quality Management System principles, tools and practices, and facility space planning and management.

  • Ability to budget, make financial projections and write reports.

  • Ability to ensure project compliance with regulatory and licensing bodies.

  • Strong teaming and facilitation skills; ability to establish and maintain effective relationships with widely diverse groups, including individuals at all levels both within and outside the organization and gain their cooperation.

  • Ability to partner with physician leadership to execute change and achieve objectives.

  • Ability to handle potentially sensitive situations by applying consultative skills in working with internal and external constituent groups; ability to challenge the status quo and manage change.

  • Ability to plan, organize, motivate, mentor, direct and evaluate the work of others.

  • Ability to prioritize work by making informed judgments and to develop solutions for complex problems.

  • Ability to utilize project management tools; proficient in Microsoft Office products including MS Project; ability to use information to improve performance.

  • Knowledge of local, state and federal regulatory requirements related to areas of functional responsibility.

  • Strong communication skills (written and verbal) and executive level presentation skills.

  • Understanding of computer system capabilities (e.g., Epic) to address process requirements.

Pay Range

Compensation is based on the level and requirements of the role.

Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data.

Typically, new team members join at the minimum to mid salary range.

Minimum to Midpoint Range (1.0 FTE): $125,507.20 to $166,472.80
