Job Summary |
The Payroll Manager manages the University's payroll process and is responsible for the timely and accurate processing of the student, hourly, and monthly payrolls, ensuring compliance with policies and legal requirements. Proactively ensures a thorough knowledge and understanding of changes to policies and state and federal laws impacting payroll and makes recommendations to improve payroll processes and functions. Maintains confidentiality. |
Salary Range |
$70,000 - $85,000, depending on experience and training/certification |
Essential Functions |
- Compiles payroll data to maintain payroll records. Reviews the accuracy of calculations and provides high customer service.
- Ensure timely and accurate processing of new hires, transfers, promotions, benefit adjustments, and terminations for student, hourly, and monthly payrolls. Responsible for distribution and accounting for all payroll checks.
- Prepares authorizations for transfer of funds and tax deposits to cover payrolls. Deal directly with banks on routine payroll-related matters.
- Monthly reconciliation of payroll-related general ledger accounts, including all benefits.
- Monitor tuition remission taxable income and assist employees.
- Reviews calculations for Group Term Life, Social Security and retirement maximums, and other deductions.
- Prepares and file quarterly 941 reports to the Internal Revenue Service, quarterly reports to multiple state jurisdictions, and quarterly wage report to the Illinois Department of Unemployment Security.
- Responsible for the preparation and distribution of the W-2 annually.
- Responsible for Workers' Compensation Audit.
- Prepares schedules and documentation for the 403 B audit and 990 Federal Income Tax Return
- Schedules and supervises the daily activities of the Payroll Processor.

Minimum Qualifications |
- 1 year of Ellucian Colleague software payroll experience or 3 years of payroll experience (without Colleague).
- Solid understanding of Payroll fundamentals and best practices.
- Outstanding organizational ability with great attention to detail.
- Very good knowledge of regulations related to Payroll.
- High level of integrity.

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects. |
