Position Summary Information


Primary Purpose
Under the general direction of the Admissions and Operations Director and Program Director, this position is responsible for supporting the Department of Physician Assistant Education's programmatic needs, including logistics/planning, facilitating special projects, grant support, and administrative support to fulfill the objectives of the Physician Assistant Program and its operations. In addition to the essential functions, the Program Specialist is responsible for following HIPAA and FERPA guidelines, having strong task-prioritization skills, attention to detail, maintaining confidentiality, and demonstrating an ability to work with others in a productive and inclusive manner.
Essential Functions
Provides administrative support to the Program in a variety of functions that may include, but are not limited to:

  • Answers and routes calls and responds to questions, provides information, and receives and directs visitors.
  • Performs administrative duties using working knowledge of the unit's policies, procedures, and practices.
  • Maintains various department, faculty, and staff calendars to ensure that department personnel are updated with current university information.
  • Prepares internal and external correspondence, reports, presentations, and other related activities as assigned.
  • Coordinates, facilitates (including set-up and tear down), and supports unit events/activities, including recruitment events and other special events, both on and off campus, participates as needed (includes occasional evenings and weekends).
  • Facilitates admissions interviews preparations to include scheduling rooms, organizing catering, coordinating student volunteers, preparation/assembly of applicant information packets, name badges, etc., and compiling interview materials.
  • Perform day-to-day operations of the admissions team including application processing, management of recruitment data, and reporting.
  • Prepares materials and takes meeting minutes for Student Progress Committee (SPC) Meetings. Facilitate timely review and distribution. Assists other committees as needed.
  • Coordinates and facilitates social media presence for the department including external program pages and closed cohort/alumni pages.
  • Facilitates the maintenance of the Program's website, ensuring clear, accurate, and compliant messaging with consideration of the Program's and University policies and accreditation standards.
  • Supports alumni relations for the Program, including support of the PA Alumni Association and its functions.
  • Performs miscellaneous and other duties as assigned by the Admissions and Operations Director and Program Director.

Minimum Qualifications

  • Bachelor's Degree or equivalent experience (i.e. Two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post-high school education coursework).
  • Two (2) years of related experience providing administrative support.
  • Intermediate knowledge of Microsoft Office suite of products including Outlook, Word, Excel, and PowerPoint.

Preferred Qualifications

  • Bachelor's Degree.
  • Two (2) or more years of related experience in higher education.
  • Proficiency in MS Office suite, specifically Excel. Ability to adapt to emerging technology.
  • Intermediate to advanced data (statistical) analytical skills. Experience with statistical software is highly valued.
  • Positive attitude, proven ability to work successfully with diverse populations, and demonstrated commitment to promoting and enhancing diversity and inclusion.
  • Excellent communication and interpersonal skills are crucial, as this position regularly interacts with both the campus community and the public.
  • Solid English composition skills and the ability to create, compose and edit letters and other materials are necessary.
  • Must be able to exercise diplomacy and deal effectively with people in various circumstances in a calm, precise way.
  • Must be able to task prioritize, organize resources and establish priorities in a fast-paced, demanding environment.
  • Must be a self-starter, able to anticipate programmatic needs, using problem-solving skills to address issues.
  • Must assume responsibility and work effectively with minimum supervision.
  • Ability to coordinate various activities, correctly interpret directions and work well under tight deadlines is crucial.
  • Must maintain strict confidentiality.
  • Previous experience in an academic setting is highly desirable.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:
Work is primarily performed in a standard office environment with the use of computers and phones. Work is typically performed during standard business hours. May require occasional evening and weekend hours to complete tasks. Occasional travel may be required.

Valid driver's license required. Incumbent must also be able to meet the University's fleet rules and be eligible to drive for university business. The University and its insurance carrier reserve the right to exclude applicants based on their driving record.
Hiring Range $22.03 - $29.15 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
